Six AI Workflow Recipes
Updated: 13 hours ago

Let's cook up some productivity! Each of the following AI recipes describes the work, three implementation options, a human checkpoint, and what to measure.
Wait. What's an AI workflow recipe?
Successful AI implementation requires many pieces and parts:
AI agents/platforms/accounts
Budgets
Time
Prompts
Workflow design
Human checkpoint
Inputs
Rules
Reviews and revision
and more
We have ingredients (inputs, prompts, shots), tools (ChatGPT, agents, vibe code platforms, etc.), directions (workflows), and serving suggestions (revisions and continuous quality improvement.
Thus, we use the term "AI recipe" to describe the collection of assets and activities you need to make AI operate successfuly.
RECIPE #1
Sales follow ups
Turn inquiry or discovery-call notes into an accurate follow-up draft and a tracked next step.
Find the right task
Inputs: Call notes, approved service information, tone guidance, and the next action the salesperson actually agreed to.
Choose the budget and approach
Plan A: $150-$600+ / month Use an integrated CRM such as HubSpot with the required AI, workflow, approval, and tracking features. Confirm the edition and seat requirements before buying.
Plan B: $25-$100 / month Use your existing email or CRM plus an AI drafting step and a connector such as Zapier. Route the draft to a reviewer. Create a follow-up task after approval.
Plan C: $0 incremental software Use a free AI assistant and saved prompt P1. Copy the checked draft into email. Add the agreed follow-up date to a calendar or spreadsheet.
Build the workflow
A new inquiry or completed discovery call triggers the work.
Provide standardized notes and approved service facts to the AI.
AI drafts the follow-up and flags unanswered questions.
The account owner verifies facts, price, availability, and commitments.
The owner sends the approved message and records the next action.
Scale with guardrails
Human checkpoint: The account owner checks customer facts, commitments, and the next step before sending.
Fallback: If the notes conflict or lack a required fact, ask the owner to clarify and draft manually. Pause any connected sending step.
Measure: Minutes per follow-up, including review and transfer. Also track the share needing substantive correction.
Three tests to see if it works: Routine inquiry; missing details; request for an unsupported price or completion promise.
Prompt: Use P1 in our prompt library. Test with sample data first, then approved minimized business inputs. Planning allowances exclude setup and existing subscriptions.
RECIPE #2
Customer service FAQs
Draft consistent answers to common questions using approved policies, with a clear handoff when an answer is unavailable.
Find the right task
Inputs: A current FAQ or policy document with a revision date, plus a minimized customer question.
Choose the budget and approach
Plan A: $200-$800+ / month Use a connected help desk with an AI agent, knowledge base, escalation, and reporting. Price the volume of conversations or resolutions as well as seats.
Plan B: $50-$150 / month Use a small Tidio/Lyro deployment focused on a narrow set of FAQs. Validate answer sources and handoff behavior before enabling customer-facing responses.
Plan C: $0 incremental software Staff paste a question and approved FAQ text into a free AI assistant using P2. They check the answer and send it themselves.
Build the workflow
1. A customer asks a recurring question.
2. Provide the question and only the approved policy needed to answer it.
3. AI drafts an answer and identifies the supporting policy text.
4. Staff verify policy applicability and any customer-specific exceptions.
5. Send the approved answer or route the question to the responsible person.
Scale with guardrails
Human checkpoint: Staff check the current policy and any exception before sending. During the pilot, review every response.
Fallback: When no approved answer exists, acknowledge the question and refer it to staff. Do not invent a policy or refund entitlement.
Measure: Handling minutes per question and unsupported-answer count. Track how many inquiries still need staff.
Three tests: Question answered by policy; exception not covered; conflicting or outdated policy.
Prompt: Use P2 in the prompt library. Test with sample data first, then approved minimized business inputs. Planning allowances exclude setup and existing subscriptions.
RECIPE #3
Marketing repurposing
Turn approved source material into email and social drafts that a person can review and schedule.
Find the right task
Inputs: Approved business update or customer story, audience, channel, actual offer, and brand guidance. Obtain permission for customer stories.
Choose the budget and approach
Plan A: $300-$1,000+ / month Use an integrated marketing platform such as HubSpot with the required AI, campaign, segmentation, scheduling, and approval features. Verify contact and edition costs.
Plan B: $25-$100 / month Use a paid AI assistant with the email platform or scheduler you already use. Add a reusable source-to-draft process and a human approval step.
Plan C: $0 incremental software Use a free AI assistant with P3. Review the drafts, prepare assets in existing tools, and publish manually or use available native scheduling.
Build the workflow
1. An approved business update or project story becomes available.
2. Supply the source and specify one audience and one desired next action.
3. AI creates an email and two social drafts from the same source.
4. The marketing owner checks claims, permissions, tone, links, and dates.
5. Schedule or publish the approved versions and record the source.
Scale with guardrails
Human checkpoint: Marketing owner checks every factual claim against the source and confirms permissions before publishing.
Fallback: If source details or permissions are incomplete, use a general educational post or defer publication.
Measure: Minutes from approved source to reviewed drafts, including revisions. Track invented-claim count.
Three tests: Complete source; missing link/date; tempting but unsupported testimonial or claim.
Prompt: Use P3 in our prompt library. Use only sample data first, then approved minimized business inputs. Planning allowances exclude setup and existing subscriptions.
RECIPE #4
Meetings into action
Turn meeting notes into decisions and a checked list of actions, owners, and deadlines.
Find the right task
Inputs: Notes or transcript, meeting date, attendee names or roles, and rules for assigning tasks. Obtain recording consent and follow applicable requirements.
Choose the budget and approach
Plan A: $100-$300 / month for a small team Use a team meeting assistant with project or CRM integrations, administration, and shared access. The allowance assumes a small team and may include connectors.
Plan B: About $17 / user / monthUse Otter Pro for an individual, then review and transfer actions to existing project tools. Monthly Pro list price is $16.99 per user, excluding promotions.
Plan C: $0 incremental softwareUse Otter Basic within its limits, or capture notes manually and use a free AI assistant with P4 in our prompt library. Assign only owners and dates explicitly supported by the notes.
Build the workflow
1. A meeting ends and approved notes are available.
2. AI separates discussion, decisions, and proposed actions.
3. AI lists owners and due dates, marking missing items as unassigned.
4. A meeting lead verifies the interpretation with the team.
5. Enter approved actions in the task system and confirm accountability.
Scale with guardrails
Human checkpoint: Meeting lead confirms that a discussion was actually a decision and that owners and dates match the notes.
Fallback: Return to the recording or ask attendees to clarify. Keep uncertain actions unassigned until a person decides.
Measure: Minutes from meeting end to confirmed action list and number of owner/deadline corrections.
Three tests: Clear actions; unassigned action; suggestion that could be mistaken for a decision.
Prompt: Use P4 in the prompt library. Use sample data first, then approved minimized business inputs. Planning allowances exclude setup and existing subscriptions.
RECIPE #5
Intake processing
Extract a structured request from messy inquiries and identify what staff need to ask next.
Find the right task
Inputs: Inquiry text, required fields, approved routing rules, and a minimized identifier for the request.
Choose the budget and approach
Plan A: $150-$600+ / month Use connected intake and CRM software with AI extraction, validation, routing, and audit history. Confirm integration availability and usage limits.
Plan B: $25-$100 / month Use a form or inbox, spreadsheet, Zapier, and an AI extraction step. Route incomplete or conflicting requests to staff for review.
Plan C: $0 incremental software Paste a minimized inquiry into a free AI assistant with P5. Verify the extracted fields and copy them into a spreadsheet yourself.
Build the workflow
1. A new inquiry arrives in a form or inbox.
2. AI extracts only the requested fields from the inquiry.
3. AI labels missing fields and conflicts without guessing.
4. Staff verify the record and apply the approved routing rule.
5. Save the checked request and send approved clarification questions.
Scale with guardrails
Human checkpoint: Staff compare extracted fields with the original and check routing. Do not let the AI decide eligibility or promise service.
Fallback: Put conflicting or incomplete records in a manual review queue. Preserve the original request.
Measure: Processing minutes per request, field-error count, and missing information detected.
Three tests: Complete request; missing required fields; conflicting dates or categories.
Prompt: Use P5 in the prompt library. Use sample data first, then approved minimized business inputs. Planning allowances exclude setup and existing subscriptions.
RECIPE #6
SOPs and onboarding
Convert an employee's rough process notes into a reusable checklist verified by someone who performs the work.
Find the right task
Inputs: Current process notes, user role, approved systems, known exceptions, and steps that require sign-off.
Choose the budget and approach
Plan A: $100-$400+ / month Use a managed knowledge or onboarding platform with AI search, permissions, version history, and an identified content owner. Verify features and seat costs.
Plan B: $20-$60 / month Use a paid AI assistant plus existing shared documents. Store the verified procedure with a version date, owner, and review date.
Plan C: $0 incremental software Use a free AI assistant with P6, then save the employee-verified checklist in an existing shared document.
Build the workflow
1. An employee records how a recurring task works today.
2. AI organizes the supplied steps and flags omissions.
3. The person who performs the task tests the draft on a real example.
4. The process owner corrects the steps and approves the document.
5. Save it where the team can access it and set a review date.
Scale with guardrails
Human checkpoint: The process owner verifies sequence, access, exceptions, and accuracy. AI must not invent safety-critical or regulatory instructions.
Fallback: Stop where instructions are missing. Ask the process owner to supply the step and keep the old approved process in use.
Measure: Documentation minutes, corrections found in a test, and recurring questions after adoption.
Three tests: Standard process; missing step; exception that requires manager approval.
Prompt: Use P6 in the prompt library. Use sample data first, then approved minimized business inputs. Planning allowances exclude setup and existing subscriptions.
How to read the costs
All recipe ranges are illustrative monthly planning allowances in USD for a small pilot. They are not vendor quotes and are not guarantees that a named product supports every step at that price.
Plan C assumes existing email, documents, and spreadsheets plus an available free AI assistant. Free plans have limits. Paid connections, API usage, seats, contact counts, and support can add cost.
Ranges exclude setup labor, existing subscriptions, taxes, and implementation services. Many recipes share tools, so do not add all six ranges together.
Check whether software you already own includes the needed feature before buying anything.

Pricing checks and implementation notes
Official pricing pages reviewed October 9, 2026. Review them again before subscribing. Annual billing often requires an annual commitment even when a price displays per month. Promotions, taxes, seat minimums, and usage add-ons can change totals.
Tool | Verified anchor | What to check |
Free: 100 tasks/month and two-step Zaps. Professional starts at $19.99/month with annual billing. | Multi-step approval workflow, task volume, premium apps, AI/provider charges.
Pro: $16.99/user/month monthly or $8.33/user/month annual before promotions. Basic: 300 minutes/month, three lifetime imports. | Meeting length, imports, team permissions, integrations, recording requirements.
Initial 50 AI conversations. Paid plan needed for monthly replenishment. | Conversation allowance, handoff, knowledge sources, channel and support costs.
Edition, seats, contacts, and AI credits affect price. | Exact feature entitlement, onboarding, workflow availability, add-ons. |
Note: A workflow needs more than a prompt
For connected plans, configure the trigger, approve the data mapping, test the integration, route drafts for human review, and define what happens when a connection fails. A pasted prompt cannot create these integrations by itself. Validate the actual tools and access model before enabling a live workflow.
